✳AUTONODIFY / AI RECRUITMENT PIPELINE

AI recruitment pipeline

Connect applications, qualification and interviews in one coordinated process.

Recruitment
✳PROJECT BLUEPRINT

The work behind the workflow.

Connect applications, qualification and interviews in one coordinated process.

An illustrative workflow design. Tools, safeguards and delivery scope are agreed per project; no client-specific performance results are claimed.

✳THE PROBLEM, IN DETAIL

What breaks down.
Why it keeps happening.

01

Inbox-driven intake

Applications, CV updates and recruiter notes live in different places. Someone must read each message, identify the vacancy, rename attachments and create a record. During busy periods, a complete application can wait simply because it has not been transferred to the review queue.

02

Repeated data entry

Contact details and experience are copied from a CV into the ATS, a spreadsheet and scheduling emails. A correction in one place does not automatically reach the others. The operational problem is inconsistent records, not a lack of candidate information.

03

Unclear next action

A recruiter may be waiting for a document while a coordinator assumes the application is ready for interview. Without an owner, status and due date, follow-up depends on personal memory and inbox searches.

04

Scheduling consumes review time

Availability, rescheduling and time-zone checks create back-and-forth messages. The recruiter spends time coordinating a decision already made instead of reviewing the next application.

✳END-TO-END WORKFLOW MAP

Every action has a next step.

Select a stage to jump to its implementation details. The review branch pauses progression until the required information or approval is available.

✳THE SOLUTION, STEP BY STEP

What we would build.
How each part works.

The following is a proposed implementation specification. Exact integrations, field names, approval thresholds and service windows are confirmed during discovery.

01

Applicant intake

Input & trigger
Application email or form, vacancy reference and CV attachment.
Implementation
Assign an application ID; preserve the original source; validate the vacancy and contact address; compare exact identifiers before suggesting a duplicate. Store extraction failures separately from missing candidate information.
Output & completion
One application record linked to a candidate and a vacancy, with a received timestamp and review status.
Exception & human handoff
Unreadable documents and ambiguous duplicate matches go to a review queue; records are never silently merged.
02

Review & qualification

Input & trigger
Validated application plus the agreed job requirements.
Implementation
Prepare a source-linked summary of experience and supplied qualifications. Distinguish stated facts from missing information. Present the summary alongside the original CV and let the recruiter record the next action.
Output & completion
A recruiter-reviewed record marked request information, progress or close, with the responsible person recorded.
Exception & human handoff
No automatic suitability decision or rejection. Unclear summaries require correction before progression.
03

Interview coordination

Input & trigger
Recruiter approval and interviewer availability.
Implementation
Offer approved appointment windows, preserve time zones and check availability again before committing. Send the invitation once; attach the correct vacancy and meeting details; handle rescheduling as an update to the same event.
Output & completion
Confirmed interview, participant notifications and an ATS event reference.
Exception & human handoff
If the slot disappears or the calendar is unavailable, keep the application pending and request a new choice.
04

ATS update

Input & trigger
Reviewed status, interview outcome or follow-up instruction.
Implementation
Write only the approved fields to the ATS; retain the external record ID; create the next task; confirm the update succeeded. Record the actor and time of each transition without copying unnecessary CV content into logs.
Output & completion
An up-to-date ATS record, named owner and visible next action.
Exception & human handoff
A failed sync stays retryable under the same application ID and alerts the coordinator after the agreed retry limit.
✳SYSTEMS, DATA & OWNERSHIP

One record of the work.
Clear responsibility at each handoff.

Proposed record structure

Application ID · Candidate ID · Vacancy ID · Source · Received time · Document reference · Review owner · Review outcome · Interview event ID · Next action

Keep source references, timestamps and the current owner alongside status. Store only the fields needed for the agreed purpose; retention and deletion rules belong in the project specification.

Integration responsibilities

The intake channel supplies the event. The workflow layer validates and coordinates it. The business system remains the source of truth for its records. Notifications inform people; they do not replace a confirmed system update.

JavaScript/Node.js or n8n can handle orchestration, PostgreSQL can hold workflow state, and an internal review screen can expose exceptions. These are implementation options, not a claim that every project uses the same stack.

✳EXCEPTIONS & ACCEPTANCE TESTS

Design the recovery.
Test more than the happy path.

Duplicate event

Expected behaviour

Reuse the event key; return the existing result instead of creating another record or sending another message.

Acceptance check

Replay the same input twice and verify only one external action exists.

Missing or invalid data

Expected behaviour

Stop the affected stage, list the missing fields and assign the correction to an owner.

Acceptance check

Submit incomplete input and verify that no downstream action is committed.

API timeout or outage

Expected behaviour

Check the destination for an existing result before retrying. Use bounded retries and alert a person when exhausted.

Acceptance check

Simulate a timeout after a successful write and confirm there is no duplicate.

Approval rejected or absent

Expected behaviour

Keep the item awaiting review. Record the reason and return it to the responsible person; do not interpret silence as approval.

Acceptance check

Reject a review request and verify the next action remains blocked.

Manual correction

Expected behaviour

Record the updated version and invalidate any stale downstream instruction before resuming.

Acceptance check

Change a record during processing and verify the latest approved version is used.

✳05 / DELIVERY & REVIEW

Built to be reviewed and maintained.

Before launch

Agree the field mapping, access permissions and approval rules. Test missing inputs, duplicate events and unavailable integrations with representative sample data.

After launch

Document ownership and recovery steps. Monitor failed runs, use controlled retries and give the team a clear way to pause the workflow and report issues.

What to measure

Review intake-to-review time, duplicate records, scheduling exchanges and recruiter corrections.

Establish a baseline first, then compare equivalent periods after launch. Results depend on the process, adoption and agreed scope.
